Privacy Policy

Last updated: 11 September 2025
At AI‑Dentity, your privacy matters. This policy explains what information we collect, how we use it, and what rights you have over your data when you visit our website or use our services.
Information We Collect
- Account & Contact Information
When you sign up for our services, request a consultation, or contact us, you may provide details like your name, company name, email address, phone number, and industry sector. A login password may also be required. - Payment Information
We do not store credit card data. All payments are processed securely through trusted PCI‑DSS compliant third‑party providers. - Job Applications
If you apply for a role with AI‑Dentity, we will collect your name, email, phone number, CV, and cover letter. For certain positions, we may request additional identifiers (e.g., passport or ID) to verify applicants. We will never request information about religion, ethnicity, political opinions, sexual orientation, or trade union membership. - Browser & Device Data
When you browse our website, our servers log basic technical information such as IP address, browser type and version, operating system, preferred language, visit time, and referring page. This helps with analytics, security, and service improvements. - Customer Databases
If you store information in our hosted services (such as client records, employee data, or communications), that data remains yours. We only process such data on your behalf, and you always retain ownership and control. - Trial/Testing Feedback (Optional)
With your consent, sessions during product trials or demos may be recorded in order to improve user experience. Sensitive fields like passwords are always excluded, and recordings are deleted within a short retention period.

- To respond to enquiries or provide support.
- To communicate with you (including product updates, service alerts, and—where lawful—marketing messages, with an option to opt out).

- To comply with applicable regulatory, legal, and security obligations.
Sharing Your Data
AI‑Dentity does not sell your personal data. We may share information only in limited circumstances:

- With local partners or event sponsors if you register for an AI‑Dentity event or request localized support.
- When required by law or regulation.
- In connection with business transfers (e.g., merger or acquisition), with your privacy protections maintained.
Data Retention
- Accounts & Contact Data: Retained for as long as your account is active or as required by law.
- Job Applications: If not hired, your application may be stored for up to 3 years unless you request earlier deletion. Minimal details may be held briefly to protect recruitment integrity.
- Customer Databases: Retained while your service is active. Once canceled, data is deactivated, retained during a short grace period, then securely deleted.
- Browser & Security Logs: Retained for up to 12 months.
- Trial Recordings: Automatically deleted within 2 months.
- Backups: For security reasons, some deleted data may remain securely stored in backups for up to 12 months before permanent removal.

Your data may be processed or accessed by AI‑Dentity staff in different regions. Any such transfer is done securely and with the same protections, including the use of standard contractual clauses or equivalent safeguards where required.

We implement robust technical, organizational, and administrative measures to secure your data against loss, unauthorized use, or alteration.

You have the right to:
- Access, review, and update your personal data.
